Timing a pickup
For arrivals, give the flight number and the scheduled landing time, and allow for baggage. For departures, work back from the time the airline wants passengers at the terminal. Put the pickup time on the form and the flight details in the box at the end, so the operator can plan around a late landing.
Luggage takes room
A group with suitcases needs more space than the same group on a day trip. Say how many bags are travelling, and mention golf clubs, surfboards or sporting equipment. A coach with luggage bays underneath or a minibus with a trailer may suit better than a larger vehicle.
